How the Validation & Registration Services Work

The Validation Service

  • This service offers Word validation against a set of rules and provides an HTML or PDF report of the validation results.
  • When a file passes Word validation it is then transformed to XML and the XML is validated against the XML schema.
  • Any XML errors will be notified to the submitter and SI Support Team who will provide information to the submitter on how to resolve the issue.
  • It is important that you produce a Word file that passes Word validation at the earliest stage that you can so you do not incur XML errors late on in the workflow.
  • A validation report is only applicable to the document that has been validated. If a document is revised and any part is edited after it has passed validation then that can introduce validation errors that will be identified on any subsequent validation.
  • Validation does not change the document stored on your local machine.

SI Registration Service

  • Uses a simple 5 step submission process to upload the SI and any associated documents and capture the information required to process the SI through registration, laying (where applicable) and publication. 
  • The system validates the SI during submission to ensure the SI is ready for publication and no errors have been introduced when making and signature information is added (where applicable). Validation on submission is not performed for SIs where expedited publication has been requested – if the SI submitted is not valid it will be returned to the Department after it has been registered for correction or authorisation for TSO to correct.
  • If the document is not valid the system will prompt users and provide options to help progress the submission.
  • Many aspects of the service rely on correct template style usage to correctly extract information and allow automated activities such as automated registration checks and number insertion to be performed.
  • Where possible, the system extracts information from the SI document itself. Where information cannot be extracted or is related to publishing requirements, the user must manually input this information. It is the responsibility of the user to ensure extracted and input information is correct before submitting the SI to the SI Registrar.
  • All interactions with the SI Bundle are recorded by the system to provide a comprehensive audit trail, which in future will be published to prove the provenance of published SIs.
